Creating an event that connects people online is quick and simple!
Whether you’re hosting a webinar, virtual conference, or an online meetup, follow these steps to set up your virtual event.
1. Upload a Cover Image
A picture says a thousand words!
Size: 1920×1080 px
Tip: Keep the file under 100KB for faster loading times.
2. Enter Your Event Title
Be clear and concise — make it obvious what the event is about. Keep the title simple yet enticing!
3. Set Maximum Tickets per Order
Decide how many tickets someone can buy in one order. The minimum is 1 ticket.
4. Choose the Event Type
Pick whether your event is:
Free – No payment required.
Paid – Attendees need to buy tickets to join.
5. Select Your Ticketing Platform
Where will your attendees get their tickets?
GroupOS ticketing – Use our built-in platform to manage your tickets.
External platform – Prefer an outside service? Link to platforms like Eventbrite, WildApricot, or others.
6. Choose the Event Format
Since it’s a virtual event, choose Virtual as your location. No address needed — just the details of your online platform.
7. Set the Date & Time
Add your event's date and time—be sure it’s accurate according to the event's location.
Example: If your event starts at 3:30 PM in Mountain Time, enter 3:30 PM in the system. The platform will automatically adjust for the correct time zone.
Important: Double-check that the time zone matches the event’s location!
8. Make It Recurring
If your event repeats (daily, weekly, monthly), set up a recurring schedule and decide when it will stop—either by end date or number of occurrences.
9. Choose Who Can See the Event
Decide who will have access to your event:
Public – Anyone can join, no membership needed.
All – Available to everyone in the community.
Restricted – Limit access to specific groups, membership plans, tags, or individual users.
You can add people manually, paste emails, or even import a list from a spreadsheet.
Need to see your attendees? Click Preview to review your audience or Export to download the list.
10. Connect to a Channel
If you want to link your event to a specific community channel, simply choose one from the list to keep the conversation going.
11. Add Tags
Choose from available tags or create new ones to help categorize and organize your event.
12. Pick an Event Category
Select the category that best fits your virtual event or create one.
13. Set Event Status
Is your event still in the planning stages or ready to go?
Pause – If you're not quite ready to go live.
Live – When you’re all set to publish your event.
14. Write a Short Description
Sum up your event in a quick, engaging statement (max 190 characters). Make it punchy!
15. Craft a Long Description
Now’s your chance to give more details! Use the editor to enhance your description with:

Videos
Links
Bold or formatted text
Pro Tip: Break long blocks of text into smaller paragraphs for a better mobile experience.
